Who we are
This site is operated by TechnoMuha OÜ (trading as SoloTransfer), registry code 12073866, VAT EE101435480, registered at Punane tn 40, 13619 Tallinn, Harju maakond, Estonia. We are the data controller for the personal data described below.
This policy covers the whole booking process — the website, and enquiries or bookings made by WhatsApp, phone or email — not only this site.
Enquiry and contact details. When you use the enquiry form, or contact us by WhatsApp, phone or email, we receive your name, email address, phone number and whatever you tell us about the service you need, the date and any notes.
Journey details. To prepare a quote and carry out a booking we may also process: passenger names (for example for a meet & greet name board), flight or train numbers, pickup and destination addresses, the number of passengers and pieces of luggage, and any special requests you give us.
Booking and invoicing records. For completed bookings: what was booked and carried out, the price, and the billing details needed for the invoice.
Website analytics. With your consent, we use Google Analytics 4 (via Google Tag Manager) to see which pages are read and whether the enquiry form is used, so we can improve the site. This sets cookies and records an approximate location derived from your IP address; Google does not receive your name, email or phone number through this channel. Analytics is off by default: until you press “Accept” in the banner shown to EU/EEA, UK and Swiss visitors, no Google Analytics or Tag Manager code is loaded at all. Visitors from outside that region are not shown the banner and analytics is switched on for them.
Technical data on every visit. Cloudflare, which delivers this site, processes your IP address and technical request data (such as the time, the page requested, browser type and approximate location) each time you load a page, to deliver the site and to protect it against abuse, bots and denial-of-service attacks. The site’s fonts are loaded from Google Fonts, which means your browser’s IP address is also visible to Google when the page loads.
Booking on someone else’s behalf. If you book for another person — for example as an assistant, travel manager or company — you are responsible for telling the passengers that their details are shared with us for the journey and pointing them to this policy.
Is providing data required? No, it is voluntary. But without contact details and journey details we cannot prepare a quote or carry out a booking.
Why we process it (legal basis)
Enquiry, contact and journey details: to take steps at your request before entering into a contract and to perform the contract — prepare the quote, carry out the journey (GDPR Art. 6(1)(b)).
Booking and invoicing records: to meet our legal obligations under the Estonian Accounting Act (Raamatupidamise seadus) (GDPR Art. 6(1)(c)).
Replying to general enquiries that do not lead to a booking, and keeping the passenger details a booker gives us: our legitimate interest in responding to people who contact us and in running the service (GDPR Art. 6(1)(f)).
Technical data processed by Cloudflare and the Google Fonts request: our legitimate interest in delivering a secure, working website (GDPR Art. 6(1)(f)).
Analytics cookies: your consent, given or refused through the cookie banner (GDPR Art. 6(1)(a)). You can withdraw it at any time — see “Manage cookie preferences” below.
We do not make decisions based solely on automated processing, including profiling, that produce legal or similarly significant effects for you.

Google
Up to about 13 months (browsers cap cookies at 400 days). This is how long the cookie lives in your browser, not how long Google keeps the data — see “How long we keep it”.
Who else sees data
Our drivers — receive the journey details they need to carry out your trip (passenger names, pickup and destination, times, flight numbers, luggage, special requests).
Partner carriers — if a journey is carried out together with a partner carrier (for example a coach for a large group), the partner receives the same journey details, only for that journey.
Resend (Resend, Inc., USA; email delivery) — carries the enquiry-form email from our site to our inbox. Our sending is configured in Resend’s EU (Ireland) region.
WhatsApp (WhatsApp Ireland Ltd / Meta Platforms Ireland Ltd) — if you choose to contact us on WhatsApp, your messages and phone number are processed by WhatsApp under its own terms.
Google Ireland Ltd — Google Analytics and Tag Manager, only after analytics consent; Google Fonts on every page load.
Cloudflare, Inc. — hosts and delivers the site and processes technical request data for security.
Zone Media OÜ (Estonia) — hosts our email inbox.
We do not sell personal data, and we do not use it for ad targeting.
Transfers outside the EEA
Some of the providers above are US companies or part of US groups — Resend, Inc., Cloudflare, Inc., Google and Meta/WhatsApp — and personal data may be accessed or processed in the United States, even where the service itself runs in the EU (as with our Resend sending region).
Where that happens, the transfer relies on the EU–US Data Privacy Framework for providers certified under it, and on the European Commission’s Standard Contractual Clauses as an additional safeguard. You can request a copy of the relevant safeguards by writing to info@solotransfer.ee.
How long we keep it
Enquiries that did not lead to a booking: 12 months from our last contact, then deleted.
Completed bookings and invoices: 7 years from the end of the financial year, as required by the Estonian Accounting Act (§ 12).
WhatsApp and email correspondence: deleted on the same schedule as the enquiry or booking it belongs to.
Google Analytics: event data is kept for 2 months and user-level data for 14 months (the retention setting in our Google Analytics account), then deleted automatically by Google.
Technical request data at Cloudflare: kept by Cloudflare for a short period for security and operations under its own retention rules.
Your rights
Under GDPR you can ask us to access, correct or delete your personal data, restrict its use, or give you a copy in a portable format. Where we rely on consent, you can withdraw it at any time without affecting processing that happened before.
Right to object. Where we process your data on the basis of legitimate interest (Art. 6(1)(f)) — for example replying to an enquiry or the technical data described above — you have the right to object at any time on grounds relating to your particular situation. We will then stop, unless we have compelling legitimate grounds or need the data to establish, exercise or defend legal claims.
Write to info@solotransfer.ee. We respond within one month; for complex requests this can be extended by two further months, in which case we will tell you within the first month. You can also lodge a complaint with Estonia’s data protection authority, the Andmekaitse Inspektsioon.
